1. Introduction
Commonwealth Technologies LLC (“we”, “us”, or “our”) operates Organizer HQ, including our website and mobile applications (together, the “service”). This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. It applies to everyone who uses the service on the web or through our mobile apps.
2. Information We Collect
Account information. When you create an account we collect your name, email address, phone number, and details about your organization.
Organizing activity data. The service exists to help organizations run canvassing, tabling, petitioning, and outreach programs. In the course of that work we collect the data you and your organization enter: canvassing and tabling session records, contact records, interaction notes, petition data, and team assignments.
Location data. When you use the mobile app to log canvassing sessions, we collect precise location data to record where canvassing takes place. With your permission, the app may also collect location in the background while a canvassing session is active in order to track the route covered. Location is only collected in connection with organizing sessions, and you can revoke location access at any time in your device settings.
Camera and photos. With your permission, the mobile app can use your camera or photo library to capture and upload images of petition sheets. These images may contain personal information of petition signers, such as names, addresses, and signatures.
Payment information. If your organization subscribes to a paid plan, payments are processed by Stripe, our payment processor. We do not store your full payment card details on our servers.
Usage data. We collect information about how you use the service, such as pages visited, features used, and device and log information, to operate and improve the platform.
3. Information About Others
Organizations use the service to record information about people they talk to while organizing — for example, contact details gathered while canvassing or petition signatures collected in the field. This information is collected and controlled by the organization you belong to, which is responsible for having a lawful basis to collect it. We process it on the organization's behalf to provide the service. If you believe an organization has stored your information in Organizer HQ and you would like it reviewed or removed, contact us at [email protected] and we will work with you and the organization to address your request.
4. How We Use Your Information
We use your information to provide and improve the service, authenticate you, communicate with you about your account, process payments, provide support, and ensure the security of our platform. We do not use your information for third-party advertising, and we do not sell your personal information.
5. How We Share Information
We do not sell your personal information. We share information only with service providers that help us operate the platform, and only as needed to provide the service:
- Payment processing: Stripe processes subscription payments.
- Communications: Twilio delivers SMS messages and Resend delivers email on our behalf.
- Hosting and storage: Our application and uploaded files (such as petition images) are hosted with cloud infrastructure providers.
- Geocoding and maps: Addresses entered into the service may be sent to geocoding services (such as OpenStreetMap's Nominatim) to convert them into map coordinates.
- Petition transcription: Petition sheet images may be processed by AI service providers (such as OpenAI or Anthropic) to transcribe handwritten petition sheets into text. These providers process the images solely to provide the transcription service to us.
We may also disclose information when required by law, or to protect the rights, safety, and security of our users and the service. Data you enter on behalf of an organization is visible to other members of that organization according to the roles and permissions the organization configures.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide the service. Organizing data recorded on behalf of an organization (such as session records and contact data) is retained under that organization's control and is deleted when the organization deletes it or closes its workspace. We may retain limited information as required for legal, accounting, or security purposes.
7. Account and Data Deletion
You can request deletion of your account and associated personal data at any time by emailing [email protected] from the email address on your account. We will delete your account and personal data within 30 days of verifying your request, except for information we are required to retain by law. See our Support page for details.
8. Your Rights
You may request access to, correction of, or deletion of your personal data at any time by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws, such as the right to know what personal information we hold about you and the right to non-discrimination for exercising your privacy rights.
9. Data Security
We use industry-standard security measures to protect your data, including encryption in transit. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
10. Children's Privacy
The service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, contact us and we will delete it.
11. SMS/Text Messaging
If you provide your phone number, we send SMS messages for account purposes only: one-time verification codes when you register, sign in, or verify a phone number, and one-time invitations when an organization invites you to join its workspace. Message frequency varies based on your use of the service. Message and data rates may apply. You can opt out at any time by replying STOP, or reply HELP or contact [email protected] for assistance.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you through the service or by email.
